We take care of homes and the people who stay in them, and that includes taking care of your information. This policy explains, in plain language, what we collect, why we collect it, who we share it with, and the choices you have.

Bend & Central Oregon Vacation Rental Management (“we,” “us,” or “our”) provides vacation rental management services in Bend and throughout Central Oregon. This policy applies to BendHost.com and to information we collect from homeowners, guests, and anyone else who contacts us by phone, email, text, or in person.

2. Information We Collect

Homeowners and prospective homeowners

Contact details such as your name, email, phone number, and mailing address
Property details such as the address, size, amenities, photos, and rental history
Information needed to manage your home, such as access codes, vendor preferences, and permit or registration numbers
Payment and tax information needed to send owner payouts and tax forms, such as bank account details and a W-9

Guests

Name, email, phone number, and billing address
Reservation details such as dates, number of guests, and special requests
Identity verification required to confirm age and occupancy, where applicable
Payment information, which is processed by our booking and payment partners and not stored by us in full
Messages, reviews, and any damage or incident reports connected to your stay

Website visitors

Anything you submit through our forms, such as a rental estimate request or contact form
Basic technical information collected automatically, such as browser type, device, IP address, pages viewed, and how you arrived at our site

3. How We Use Your Information

To respond to inquiries and provide rental estimates
To manage homes, including listings, pricing, cleanings, maintenance, and inspections
To process reservations, payments, refunds, security deposits, and owner payouts
To communicate with guests before, during, and after a stay
To comply with City of Bend and Deschutes County short-term rental rules, state and local lodging tax requirements, and other laws
To keep homes, guests, and neighbors safe and to prevent fraud or misuse
To improve our website and services and, where permitted, to send updates you can opt out of at any time

4. How We Share Your Information

We do not sell your personal information. We share it only when it is needed to run our business or required by law:

Booking platforms such as Airbnb, Vrbo, and our direct booking system, to list homes and handle reservations
Service providers who work on our behalf, such as payment processors, property management software, email and phone providers, cleaners, maintenance vendors, and accountants. They may use your information only to provide services to us.
Homeowners, who may receive limited guest details such as names, stay dates, and incident reports related to their property
Government agencies, such as the City of Bend, Deschutes County, and the State of Oregon, for short-term rental permitting, occupancy, and lodging tax compliance, or when required by law, subpoena, or to protect someone’s safety or property
A new owner of our business, if we merge with or are acquired by another company

5. Technology at Our Properties

Some homes we manage use technology to protect the property and support local rules. This may include smart locks that log entry codes, noise monitoring devices that measure decibel levels only and never record conversations, and exterior cameras at entrances or driveways. We never place cameras or recording devices inside a home. Any devices at a property are disclosed in its listing.

6. Cookies and Analytics

Our website uses cookies and similar tools to understand how visitors use the site and to improve it. We may use services such as Google Analytics and advertising platforms that help us reach homeowners who have visited our site. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics at tools.google.com/dlpage/gaoptout.

Do Not Track: Some browsers send a “Do Not Track” signal. There is no common standard for responding to it, so our site does not currently change its behavior when it receives one. We do honor Global Privacy Control signals as an opt-out request where required by law.

7. Text Messages

If you give us your mobile number, we may text you about your inquiry, reservation, or property. Message frequency varies and message and data rates may apply. Reply STOP to opt out or HELP for help. We do not share or sell mobile numbers or text messaging consent to third parties for their own marketing.

8. How Long We Keep It

We keep information only as long as we need it for the purposes above, including to meet tax, accounting, and legal requirements. When it is no longer needed, we delete it or make it anonymous.

9. How We Protect It

We use reasonable administrative, technical, and physical safeguards, such as limited access, secure software, and encrypted payment processing. No system is perfectly secure, so we cannot guarantee absolute security, but we work hard to protect what you share with us.

11. Oregon Privacy Rights

If we decline your request, you can appeal by replying to our decision, and we will respond to your appeal in writing. If you are not satisfied with the outcome, you may contact the Oregon Department of Justice.

Residents of other states: Many of our guests visit from California, Washington, and beyond. If your state gives you similar privacy rights, contact us and we will honor them as required by law.

12. Children’s Privacy

Our website and services are not directed to children under 13, and we do not knowingly collect their personal information. Reservations must be made by an adult who meets our minimum age requirement.

13. Other Websites

Our site may link to booking platforms and other websites we do not control. Their privacy practices are their own, so we encourage you to read their policies.

14. Changes to This Policy

We may update this policy from time to time. When we do, we will change the date at the top of this page. Significant changes will be highlighted on our website.
